We have an exciting full-time opportunity for an experienced Secretary to provide administrative support to allocated staff (specifically Senior Management and the Plant Trainor/Assessor).

You will have the opportunity for growth and development in this role, as you embed into the business and build on your skills and experience in the business areas that you support.

KEY DUTIES AND RESPONSIBILITIES:

1. Ensure effective handling of correspondence (internal and external), by organising and prioritising as appropriate.
2. Be proficient with Microsoft Office applications, including MS Teams, and any other software packages the company utilise, to enable you to provide the appropriate level of support to allocated staff. This includes ensuring all systems are operated in accordance with established procedures.
3. Organise, manage and co-ordinate the activities of allocated staff, providing all related secretarial support.
4. Ensure deadlines are met by prompting appropriate members of staff.
5. Liaise with all staff to ensure effective resolution of day-to-day issues and queries.
6. Ensure high standards of efficiency and service are provided by constantly reviewing working methods/office procedures.
7. Maintain knowledge and understanding of Company policies and procedures, especially those relevant to your own position.
8. Act as Project Secretary on allocated projects providing an efficient and high-quality service to the Project Teams.
9. Assist in overseeing our Thrislington Office including general housekeeping and liaising with the Senior PA/Office Manager at Meadowfield as and when required.

KEY PERFORMANCE INDICATORS:

• Achieve an overall “good” or “above” response in the Annual Group Administration Team Survey.
• Check Key Documents are complete, correctly filed and in place through six monthly Key Review Audits on active business plan projects.

WORKING ENVIRONMENT:

This position will be office based and will involve the co-ordination of external and internal stakeholders. Attendance at community exhibitions may also be required in support of projects.

QUALIFICATIONS, KNOWLEDGE AND EXPERIENCE:

Essential
• GCSE maths and English at least grade C or equivalent
• A full UK driving licence
• Excellent level of computer literacy in all Microsoft packages (Word, Excel, PowerPoint, MS Teams and Outlook)
• A typing speed of at least 50 words per minute
• A high level of skill and experience in taking minutes of meetings
• Experience of writing concise reports

Desirable
• An administration qualification
• Awareness of Data Protection / GDPR protocols
